Employee identity and permissions

Microsoft Entra ID

Who can sign in, and what are they allowed to reach?

What it is and what it does

Entra ID is a central system for work accounts and access. Think of it as the employee access register for your digital business. It helps connect a person’s job to the applications they may use, and can enforce additional checks when they sign in. Microsoft: Entra identity and access.

What that means for your business

When a finance employee leaves, disabling their account and removing access should be part of the same controlled exit process. When an administrator signs in, stronger checks help protect the ability to change the company’s systems.

Is this a baseline system?

Managed identities, MFA, appropriate permissions, and a reliable joiner and leaver process are baseline controls. Entra ID is a common fit for Microsoft 365 organizations; equivalent identity platforms can provide the underlying controls.

Will insurance ask about it?

MFA is a specific question in many cyber applications. The sample application linked in this guide distinguishes email, remote access, privileged accounts, and critical systems. Have IT show enforcement and exceptions, rather than simply confirming that users have registered an authenticator.

See the insurance sources and how to interpret the levels.

Minimum operating position

MFA on relevant access paths, separate administrator accounts, controlled permissions, timely removal of leavers, and an inventory of service and test accounts.

When the business needs stronger protection

Phishing-resistant authentication, rules that consider device condition and sign-in risk, temporary administrator privileges, and regular access reviews. License requirements vary by feature.

Evidence to request from IT

  • MFA enforcement report and approved exceptions.
  • Current privileged users and owners of service accounts.
  • A recent leaver test and sign-in alert response record.

What belongs in the budget

Check what is included in existing Microsoft licenses before buying more. Budget for configuration, access reviews, and monitoring as well as subscriptions.

A documented incident

Microsoft, 2024: a forgotten test account mattered

Microsoft reported that Midnight Blizzard compromised a legacy test account without MFA and used application permissions to reach corporate email. Microsoft: Midnight Blizzard investigation, January 2024.

What this case shows: Identity controls need to cover old and nonproduction environments too. Owning an identity platform does not mean every account is correctly protected.
